Technical manuals: prepare a broker-ready dataset brief

Describe manual families, revisions, extraction quality, and source boundaries before asking a broker to qualify a technical-document dataset.

Use this guide to describe a bounded collection and decide what evidence an intermediary needs next. It does not establish buyer acceptance, a valuation, or permission to license the material.

Count document families before counting pages

Separate a product family, a manual edition, and a file. A PDF duplicated across regional folders is not a second independent manual. Report current editions and superseded revisions separately, and state how you estimated the inventory. If you have not deduplicated the archive, label counts as file counts rather than unique documents.

Make extraction limitations visible

Inspect a bounded set across clean digital PDFs and scans. Record whether tables, diagrams, page references, and model identifiers survive extraction. Report the subset inspected and the kinds of failures found; do not imply that a spot check measures the entire archive. A broker can use this to ask whether the buyer needs searchable text, layout, or images.

Separate authorship from possession

Identify internally written text, supplier inserts, translated editions, and illustrations with unclear origin. A file in your document system is not proof of licensing rights. Keep unresolved portions outside an exploratory sample and ask the appropriate rights owner or adviser to review the proposed use.

Offer a qualification packet with a stop rule

Begin with a schema, a coverage summary, and an invented example record. Ask which equipment families and revision years matter to the evaluator before funding OCR or diagram labeling. Pause if the buyer cannot choose a relevant subset or explain whether historical revisions are useful.
